Summary of position: The Finance Department is responsible for company-wide financial reporting, budgeting, cash flows, safeguarding of company assets, and internal controls. The position will assist and support the Finance Department by providing accurate and timely service of data entry, record keeping, effective communication with staff and third parties, and by performing other duties as assigned. Essential job responsibilities & duties: Assist with timely and accurate billing of program fees and subsequent charges for all business lines of IES Abroad. Process bank deposits (checks, EFTs, credit cards, wire transfers) on a daily basis and follow up with any discrepancies. Manage payment plan accounts for timely and accurate payments received. Assist with collection of fees billed including follow up with students, parents and schools. Work with Accountants to ensure correct coding and integration between systems. Notifies accountant of reclassifications. Assist with billing inquiries from schools, students, parents, Centers and Country Offices. Determine when student accounts are paid in full and work with the IES Abroad Registrar to release transcripts. Uses the proper classification between fiscal years and make adjustments for the proper proration between current/prior fiscal year revenue and advanced billing. Assist with preparation of year-end accruals. Communicates with staff via email, phone, or face-to-face contact to disseminate information or gather additional details. Processing of payables (checks, EFTs, wire transfers) Review state registrations and prepare filings. Preparation of Federal & State 1099-NEC & 1099-MISC forms. Manages dormant checks: makes routines contact with vendors and files escheat reports to relevant states. Serve as back-up to others in the department during absences, including but not limited to processing payables, and other banking functions. Utilize Excel for all financial reports and analyses. Commit to and demonstrate values and promotion of diversity, equity, inclusion, and anti-racism. Assists with development and modification of internal controls. Contribute to the overall accuracy, timeliness, and consistency of billing and financial reporting. Special projects, tasks or duties as assigned or required. Regular and predictable attendance is an essential function of this position. Experience & Qualifications/Skills: 3+ years of accounting experience Detail oriented and high level organizational skills Strong and proven proficiency with Microsoft Excel Proficient and accurate data entry skills Knowledge of working with foreign currency exchange rates a plus Ability to learn quickly Ability to demonstrate values and promotion of diversity, equity, inclusion, and anti-racism. Strong written and verbal communication skills Strong computer aptitude skills (Microsoft Office: Outlook, Excel, Word, general data entry, Internet) Ability to work both independently as well as part of a team Excellent and accurate typing skills including 10 key number pad Education, Licenses and/or Certifications etc: Bachelors degree in Accounting or Finance or equivalent work experience.
