Basic Function / Position Objective: The Operations Manager, Knowledge & Resources is a key member of the Operations Department, managing the organization’s IT, Knowledge Management, and Resource Management needs to support the goals of the organization. The Operations Manager, Knowledge & Resources will be integrated into the operations team, participating in cross-functional and special projects. The Operations Manager, Knowledge & Resources must understand, support, and do whatever is necessary to promote the organization’s mission, vision, values, and principles as well as to be able to clearly articulate the organization’s function. Essential Functions and Responsibilities: Knowledge Management Design a filing structure within Google Drive for easy access and collaboration Digitize physical documents and organize Prepare and oversee server transfer to Google Drive Author team training materials on Google Drive & knowledge management best practices Own Asana Board design and use among departments Author team training materials on Asana Use & Best Practices Information Technology Oversee outsourced IT contractor Manage computers and tablets Be the first contact and line of support with team IT concerns Administrate IT software, such as Google, Zoom, Slack, Asana Evaluate tech stack and new software for integration into tech stack Resource Management Develop and implement a resource management strategy. Day-to-day management of resources Special Projects Assist in cross functional and lead special projects as assigned. Essential Skills and Abilities: Exceptional interpersonal, written, and verbal communication skills. Excellent customer service skills and a positive, customer-oriented attitude demonstrated consistently with all contacts. Demonstrated ability to maintain confidentiality. Demonstrated ability to draft/produce accurate correspondence and training materials. Demonstrated ability to edit written materials accurately and consistently, including own work. Demonstrated ability to design and manage knowledge management strategy; demonstrated ability to organize files and establish and maintain an effective filing system. Demonstrated ability to answer questions and resolve emerging software and/or hardware problems our team might face with accuracy and efficiency. Demonstrated ability to research and evaluate software, vendors, systems, etc. Strong organizational and time management skills. Able to plan, organize, and implement projects and to follow up as required. Must be detail-oriented and enjoy organizing others. Ability to present professional demeanor at all times. Excellent judgment, tact, and problem-solving skills. Demonstrated ability to take initiative, work independently with limited supervision, as well as to function successfully as a team player. Ability to effectively manage and prioritize several issues/tasks concurrently, meet deadlines, and communicate status effectively. Self-motivated and able to anticipate organizational needs. Accomplished with Google suite, Asana (or similar project management tool), Zoom, Apple, and PC products. Must be able to operate standard office equipment. Ability to research and learn new technological tools. Required Education, Experience, and Abilities: Bachelor’s degree or equivalent experience required.
