OVERVIEW:Manages all aspects of leave program administration and case management at Year Up including case resolution, compliance, data and trend analysis, process improvements, and vendor performance management.This position is open to candidates who reside in the Northeast or Southeast of the U.S., near a city where Year Up operates (https://www.yearup.org/locations).KEY RESPONSIBILITIES:Regulatory and Legal Compliance * Manages and ensures compliance of all federal, state, local leave regulations including but not limited to Family Medical Leave Act (FMLA), Massachusetts Paid Family Medical Leave (MA PFMLA), USERRA, ADA/ADAAA, as well as various state leave requirements as applicable. Also ensures compliance of all other company leaves including, but not limited to personal and educational leaves (i.e. sabbaticals). * Stays abreast of applicable regulations and ensures updates are made to systems, processes, documentation, etc. in collaboration with benefits team. * Serves as the project lead/subject matter expert on leave initiatives and implementations as it relates to design requirements for HCM system upgrades and third-party vendors. * Serves as the subject matter expert on leave policy design and process administration, in collaboration with HR leadership, Benefits, Legal, and Compliance. * Manages the required notice requirements for various federal and state leaves as applicable. * Identifies opportunities to implement process improvements and efficiencies with internal business processes. * Facilitates the ADA hiring and leave extension request process. * Develops and maintains leave resources, trainings, educational material, and communications for employees and managers. * Conducts trainings on role specific leave responsibilities. * Coaches managers on leave policy and processes in collaboration with HR Business Partners as needed. * Interprets and administers leave policies within the framework of applicable federal and state regulations. Case Management, Operations, and Administration * Serves as the point of escalation for leave matters. Resolves escalated issues with a sense of urgency and within the appropriate timelines based on applicable regulations. * Coordinates with applicable stakeholders on leave case management keeping employee experience as the focal point (Employees, Managers, Benefits, Payroll, HR Business Partners, and designated vendors). * Assists managers with complex leave issues involving abuse of FMLA and other leave types.Reporting and Analytics * Analyzes leave data and trends for appropriate intervention. * Leverages vendor reports to track and report FMLA and statutory leave laws usage to ensure that staff members do not exceed the amount of allotted time. * Creates, maintains, and communicates regular 'dashboard' metrics on leaves. * Provides leave statistical and trend reports.Vendor Performance Management * Identifies opportunities to leverage vendor capabilities to support leave of absence administration process improvement. * Monitors third party vendor adherence to established service level agreements and performance expectations. * Participates in vendor RFP's, selection, negotiation, and annual renewal, in collaboration with benefits team.QUALIFICATIONS: * Minimum of 6 years of work experience * Additional experience, knowledge and training specific to leave administration. * 5 years of benefits responsibility for an organization's LOA program including experience administering leaves in multiple states (i.e. FMLA, MMA, STD and LTD) or commensurate experience * Prior experience supporting ADA matters is highly desired Additional Knowledge, Skills, and Abilities * Ability to handle sensitive information respectfully and compassionately and maintain confidentiality. * Ability to prioritize and manage multiple projects simultaneously. * Superior organizational and interpersonal skills. * Strong research, analytical, and reporting skills. * Ability to operate within HCM systems (Workday, ADP). * Proficient with Microsoft Office Suite Tools (Word, Excel, PowerPoint). * Strong oral and written communication skills and demonstrated ability to collaborate across all levels of an organization. * Ability to work within a team environment and to collaborate across multiple departments. * Strong self-starter, fast learner, quality conscious, committed to deadlines. * Ability to drive change as necessary.Salary Range: $60,200 - $85,000#LI-HybridCOMPENSATION & BENEFITS: * Year Up has established salary ranges for each of our sites, which allows us to pay employees competitively, equitably and consistently in different geographic markets.
